GENERAL SUMMARY:
Manages day-to-day operations, promotes programs, builds partnerships that promote CMU programs, supervises and supports faculty, and advises students in a clear, accurate, and effective manner within the College Graduate and Extended Studies (CGES) department in Union, MO. Coordinates closely with the Dean, CGES Admissions, and other administrative offices to ensure continuity, accountability, and quality programs.
The primary responsibilities include developing and executing strategies to promote academic programs to prospective students, as well as providing comprehensive academic advising, supporting student success, and maintaining quality assurance in academic services. This role requires a dynamic individual who can balance the recruitment and retention of students with ensuring their academic needs are met and aligned with the institution’s standards for success and growth.
This role involves building strong communication channels, collaborating with internal and external stakeholders, managing marketing efforts, and ensuring that enrolled students have access to the necessary support services to succeed in their academic journey.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Recruitment and Retention (40%)
- Marketing and Promotion: Implement recruitment strategies that align with university marketing standards and effectively utilize various media outlets, including social media, email campaigns, print materials, and virtual events.
- Coordinate Communication: Work closely with community college personnel, faculty, and transfer coordinators to promote programs through class presentations, workshops, and direct outreach to potential students. Clearly communicate the value and benefits of CMU programs to prospective students, tailoring messaging for different student demographics.
- Respond to Inquiries: Ensure timely and professional responses to all student inquiries through various channels (email, phone, social media).
- Review Existing and Explore New Markets: Regularly assess the effectiveness of current recruitment efforts, identify new opportunities, and make necessary adjustments to strategies for program growth. Investigate potential markets for recruitment, such as traditional and transfer students, working professionals, and non-traditional student populations.
- Community Engagement: Build and maintain strong relationships with local organizations, community leaders, high schools, and community colleges to increase awareness of CMU programs and recruitment opportunities. Represent CMU at community events, fairs, and outreach programs to engage with potential students and their families. Host information sessions, workshops, and other events aimed at educating the community about educational opportunities at CMU. Also, partner with community organizations, local employers, and other educational institutions to create pathways for students to attend CMU.
- Track and Analyze Enrollment Data: Monitor enrollment trends and adjust recruitment tactics based on data and feedback to ensure continual growth. Also, regularly assess the impact of community outreach efforts on student enrollment and retention, adjusting strategies based on data to maximize success.
- Collaboration with Student Services: Ensure that students have access to necessary resources (e.g., library services, computing facilities, accommodations) to enhance their learning experience. Also, work with relevant departments to provide necessary accommodations and services to students, ensuring they can succeed academically.
- Student Support: Maintain an ongoing relationship with students to assess satisfaction with services and identify areas for improvement. Assist the university with commencement activities at other locations, as needed.
- Academic Advising & Services (40%)
- Academic Service and Advising: Ensure excellent customer service for all students while maintaining high-quality standards. Provide appropriate and proper advising for assigned students and majors. Maintain communication with academic offices and personnel at both the university and community college partner institutions. Also, track students’ progress and success to ensure they fulfill graduation and degree requirements.
- Academic Programming Management: Hire and retain qualified adjunct faculty in consultation with the Dean and appropriate community college personnel, as needed. Regularly review adjunct faculty performance through the faculty evaluation process and review student evaluations to ensure quality instruction. Also, develop course schedules, schedule facilities, and submit pay requests and employment paperwork for faculty and staff for the region.
- Academic Quality: Maintain all academic policies and procedures to ensure a high-quality education for all students.
Collegial Leadership (20%)
- Provides collegial leadership for all regional activities in a customer service-oriented environment.
- Serves as an effective, collegial member of the Extended Studies staff by contributing to the planning and monitoring of all regional goals and interests and supporting the work of other staff within the College of Graduate and Extended Studies and CMU in achieving the institutional mission and goals.
- Other duties as assigned.
MANAGERIAL/SUPERVISORY RESPONSIBILITIES:
Provides work direction for a full-time/part-time Administrative Assistants and part-time Adjunct faculty.
EDUCATION AND EXPERIENCE QUALIFICATIONS:
Master’s degree in an appropriate discipline; and five years of progressively responsible experience in an area related to the responsibilities of the position. Experience working with Microsoft Office products and enrollment management products.
PHYSICAL REQUIREMENTS:
Regularly required to sit for long periods of time. Travel between regional locations, regional communities, and CMU campuses. Must lift, carry, and move a minimum of 20 pounds on an occasional basis.
OTHER SKILLS AND ABILITIES
Must have strong advising experience. Must be committed to student success, quality programs, and degree attainment. Must show a demonstrated commitment to professional excellence and integrity and to the values, vision, and goals of Central Methodist University. Must be able to communicate articulately and compellingly in writing and in speech. Ability to set and meet timelines and prioritize own work and that of staff. Must maintain accurate and confidential records of student academic and college-related information.
